Inviting Players & Join Requests
Last updated Oct 27, 2026
The "Invite Your Party" Window
Right after you create a campaign, an Invite Your Party window opens with everything you need in one place:
- Copy the join link, then paste it wherever your players hang out.
- Copy Discord Blurb copies a ready-to-paste recruiting message. WhatsApp opens a pre-filled message, and on phones Share… opens your device's share sheet.
- Post invite to Discord (shown when your campaign has a Discord webhook) posts a recruiting message straight to your channel — up to 3 times an hour. No webhook yet? Choose Connect Discord to jump to the Party section and add one.
- Invite by email sends invites without leaving the window. You'll need a verified email address for this; the join link works right away either way.
Choose I'll invite players later to close it — the same link is always available in the Party section of your campaign.
Methods for Inviting Players
Dungeon Manager provides three flexible ways to build your party:
1. Email Invitations
- In your campaign's Party section (or the Invite Your Party window), enter the player's email address and click Send Invitation.
- The player receives an email with an action link. Unregistered users are prompted to create a free account first.
- Automated reminder emails are sent after 48 hours if unanswered.
2. Shareable Join Link & Preview Pages
- Copy the unique Join Link (
/join/...) from the Party section to share in Discord or group chats. - Recipients see a Join Preview page showing your campaign's premise, DM, and party size. New players can sign up (email, Google, or Discord) and land straight in your campaign; existing players log in and join with one click, optionally picking a character.
- If you set a max players limit, the link stops accepting players once the party is full.
- DMs can click Regenerate Link at any time to invalidate old links. The join link is separate from your campaign's public share page, so sharing that page never lets anyone join without your approval.
3. Request-to-Join Public Discovery
- Public campaigns on Campaign Discovery feature a Request to Join button.
- Interested players submit a join request with an optional note and preferred character class.
- DMs receive a notification and can review, approve, or decline requests from the Campaign Player Manager queue.
Placeholder Party Characters & 1-Click Claim Handoff
Want to balance encounters in the Encounter Builder or test initiative in the Combat Tracker before your players have joined?
- Add Placeholder PCs — In the Party panel on your Campaign Hub, click Add 4 Placeholder PCs (or add a custom placeholder / DM-owned character) to populate unclaimed party slots (
user_id = null, status = accepted). Encounter XP budgets and Combat Tracker PC pre-population work immediately, while scheduling polls and campaign seat caps ignore unclaimed slots. - 1-Click "Claim Character" Handoff — When a player accepts an email invite, joins via your shareable
/join/...link, or visits the Player Portal dashboard without a character, they see your unclaimed party characters and can click Claim Character to transfer character ownership (Character.user_id) and activate their party slot in one click. DMs can also manually assign an unclaimed character to any accepted player from the Party panel.
Managing Roles & Permissions
- Player — Full player portal access, character sheet management, combat actions, and party loot claiming.
- Co-DM — Shared DM permissions: run combats, manage NPCs, edit session plans, and invite players.
- Spectator — Read-only access for guest players or listeners.
